Privacy Policy

ScanSmart ("we", "our", or "the app") is developed by Aleksandar Milidrag. This Privacy Policy explains how we collect, use, and protect your information when you use the ScanSmart iOS application.
The short version: Text recognition happens entirely on your iPhone. We never upload your photos or documents to any server for processing. The only thing stored on our servers is the data you explicitly save to your account, so you can access it from your other devices.
1. Information We Collect
Account Information
- Name and email address (when you sign in with Apple or Google)
- Anonymous identifier (when you choose "Get started as Guest")
Scan Content (only when you tap Save)
- Extracted text from your scans
- Original image captured by the camera or imported from your Photos library
- Scan metadata: title, capture date, folder assignment, and pinned state
Device & Usage Data
- Device model, operating system version, and app version
- Anonymous analytics events (screen views, feature usage) to understand how the app is used
Purchase Information
- Subscription and lifetime-purchase status (managed by Apple through StoreKit and reported via RevenueCat; we do not see or store your payment details)
2. How We Use Your Information
- Core functionality: Store and display your saved scans across your devices when signed in.
- Text recognition: Convert images and documents into editable text directly on your device.
- Authentication: Create and securely manage your account.
- Analytics: Understand which features get used so we can improve the app. All analytics events are anonymous and aggregated.
- Purchase management: Verify your subscription or lifetime-purchase entitlement.
3. On-Device Processing
ScanSmart performs text recognition (OCR) using Apple's Vision framework, which is built into iOS and runs entirely on your device. Optional text translation uses Apple's on-device Translation framework. Your scan images and recognized text are never sent to ScanSmart's servers — or any third party's — for recognition or translation. These features work without an internet connection.
4. Photo Library, Camera, and File Access
- Camera access is requested only when you tap "Scan" in the app. We use Apple's
VNDocumentCameraViewController (the same scanner used by Notes and Files) to capture documents.
- Photo library access uses Apple's
PhotosPicker, which presents a privacy-respecting picker. The app only ever receives the specific image(s) you select — it has no broader access to your library.
- Files access (for the PDF Tools tab and Import PDF flow) is granted per-file by you through Apple's document picker. We never read other files on your device.
5. Third-Party Services
We use the following third-party services. Each processes data according to its own privacy policy:
- Firebase (Google): Authentication, Firestore (saved scan metadata and folders), Cloud Storage (saved scan images), and anonymous analytics. Firebase Privacy Policy.
- RevenueCat: Subscription and purchase status verification. RevenueCat Privacy Policy.
- Apple Vision & Translation frameworks: On-device text recognition and translation — no data leaves your iPhone.
- Apple StoreKit: Subscription and one-time-purchase management.
6. Data Storage & Security
When you save a scan, the extracted text and image are stored in Google Firebase under your account, with these protections:
- All data is encrypted in transit (HTTPS/TLS)
- Firestore Security Rules ensure that only your authenticated session can read or write your own scans and folders
- Scan images are stored in private, authenticated Cloud Storage buckets — not accessible by URL without your credentials
- No scan data is ever shared with other users
7. Data Retention
We retain your saved scans for as long as your account is active. You can delete individual scans, empty folders, or delete your entire account at any time. Deleted data is removed from our servers immediately.
8. Your Rights & Data Deletion
You can:
- Delete individual scans or folders at any time within the app.
- Sign out at any time from the Profile screen.
- Delete your entire account from the Profile screen. This permanently removes all your saved scans, images, folders, and account information from our servers.
- Request a data export or deletion by contacting us at the email below.
- If you are in the EEA, UK, or California, you have additional rights under GDPR or the CCPA — including the right to access, correct, port, restrict, or object to processing. Email us to exercise these rights.
9. Tracking and Advertising
ScanSmart does not track you across apps or websites, does not show ads, and does not sell your data to anyone. We do not use App Tracking Transparency (ATT) prompts because we do not engage in tracking as defined by Apple.
10. Children's Privacy
ScanSmart is not intended for children under the age of 13 (or 16 in jurisdictions where that is the applicable minimum age). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time — for example, when new features are added. We will notify you of significant changes through the app or by updating the "Last updated" date at the top of this page.
